title: The account statement description: Read a unit's full financial history: charges, payments, credit, running balance, and the downloadable report. audience: Super Admin, Property Manager

The account statement

The account statement is the single place that answers "where does this unit stand". Every charge, every payment and every credit movement of the unit, in order, with a running balance. It is the same information the owner sees in their portal, so you can read it to an owner on the phone line by line.

Open it

In Charges & Payments, find any movement of the unit and select View account statement. The heading Unit account statement confirms you are on the right unit.

The four totals

TotalWhat it means
Total chargedEverything billed to the unit in the filtered period.
Total paidEverything the unit paid in the period.
Open balanceWhat the unit owes right now: every charge balance still unpaid.
Available creditOverpayment waiting to be consumed by future charges.

The movements table

Each row is a charge or a payment, with Receipt, Period, Type, Due date, Status, Amount, Paid, Balance and the Running balance after that movement. Credit shows up as its own movements: Credit available when it is generated, Credit applied when a charge consumes it.

Filter by Charge type, Status, Year and Month. The Movement date filter follows one rule: charges count by their due date, payments by their payment date.

Download the report

Download report exports the movements the current filters show, one row per movement, named after the property, the unit and the period. If the filters leave nothing, there is nothing to download and the button says so.

Example

The board asks Laura why unit 902 shows $1,750 due. She opens the statement, filters the year, and reads it: January charge paid, February charge Partially paid with $900 of balance, March charge Overdue with $850, plus two Late fee rows. The running balance column shows exactly when the debt started to grow.

FAQ

An owner disputes a charge. Where do I start? In the statement, with the receipt number. From there, check the charge's line items, its due date, and what payments touched it.

Why do charges and payments sort by different dates? A charge matters when it comes due; a payment matters when the money arrived. The statement uses each movement's relevant date, and says so under the filter.

Does the statement show other units of the same owner? No. The statement is per unit. An owner with three units has three statements.
