ReportsMonthly income report

Monthly income report

Download the list of payments a property collected in a month, with totals by charge type and the unapplied remainder.

Monthly income report

The question it answers: what did this property collect in a given month, payment by payment? It is the report to reconcile against the bank statement and to present collections to the board.

Download it

  1. Open Reports and go to the Monthly income section.
  2. Select the Property and the Period (month and year).
  3. Pick the Format: CSV, PDF or Excel, and select Download.

The file is named starting with MonthlyIncome, followed by the property and the period.

What is inside

One row per payment applied in the month, with: Unit, Tenant, Payment Date, Covered Charge Types, Description, Amount Paid, Payment Method and Receipt #.

At the end, the totals:

  • Total Collected: the sum of the period.
  • Unapplied payments: money received that was not applied to any charge, that is, remainders that became credit, with the count of payments that carry one.
  • Total Distinct Payments: how many payments the month had.

The PDF and Excel versions also carry a summary by concept, two columns, Concept and Amount.

The fine print

  • Reversed payments are excluded. If a payment was registered and then reversed, it does not appear and does not add.
  • Totals reconcile with what Charges & Payments shows for the same period.
  • A month with no applied payments downloads a file with headers only.

Example

The treasurer of Ocean Tower A asks Laura for March collections. Laura downloads the Excel: 92 payments, Total Collected $81,350.00, Unapplied payments $415.00 across 3 payments. The $415.00 is sitting as credit in three units and will consume itself against April's charges, so the treasurer knows not to chase it.

FAQ

Why does a payment from March 31 not appear? Check its payment date as registered. The report goes by the payment date recorded in ALPRO, not the bank's processing date.

What exactly is an unapplied payment? An overpayment remainder. The owner paid more than their open charges; the extra became available credit. See Register a payment.
