Create a vote
title: Create a vote description: Draft a board motion or an owners' assembly vote: ballot, quorum, majority rule and voting window. audience: Super Admin, Property Manager
Create a vote
Votes in ALPRO are formal: each one carries its quorum, its majority rule and its audit trail, so the result can stand in front of the association. Creating one is a three-step wizard; nothing is visible to voters until you open it.
The two kinds of vote
| Vote type | Who votes | Weight |
|---|---|---|
| Board motion | Active board members | One member, one vote |
| Owners' assembly | One ballot per unit (the owner or a designated proxy) | The unit's ownership percentage |
In an assembly vote, percentages are shares of ownership, not of unit count: a penthouse with 2.50% outweighs three units of 0.80%.
Steps
Open Votes and create a new motion. The wizard has three steps and auto-saves your draft.
Step 1: Type & Details
- Pick the Vote type and the property.
- Enter the Motion Title (it appears on the ballot header) and the Motion Context & Legal Substance: the text voters will read, up to 2,000 characters.
- Choose the Ballot Structure: Yes / No / Abstain, Multiple choice (at least 2 options) or Election / Candidates.
Step 2: Rules & Quorum
- Quorum: as a Percentage or as a Number. For an assembly, percentage quorum means that share of the eligible ownership must participate; for a board motion, that share of the eligible members.
- Majority rule: Simple majority, Two-thirds or Unanimous.
- The Voting window: when it opens and its scheduled close.
Step 3: Eligible Voters
Review the roll: who is eligible, with their weight. For an assembly, suspended units are excluded from the quorum denominator and the roll shows it.
Save with Save as draft at any point, or open the vote when everything is ready. Opening emails the ballot to every eligible voter.
Electronic consent and paper
Each resident decides how they vote:
- With Electronic voting consent on file, they vote from their portal.
- Without it, they vote on paper outside the system, and your team logs the paper result. The consent register can be exported as CSV.
Example
The Ocean Tower A board needs owner approval for a special assessment. Laura creates an Owners' assembly vote, ballot Yes / No / Abstain, titled "Special Assessment for Chiller Plant Overhaul", quorum 50% of eligible ownership, Two-thirds majority, open for 14 days. She reviews the roll of 180 units and opens the vote; every eligible owner gets the ballot by email.
FAQ
Can I edit a vote after opening it? No. The rules, the ballot and the roll freeze when the vote opens; that is what makes the result defensible. To change something, create a new vote. After a vote that ends without quorum, its creator can use Duplicate motion as new draft to reissue it.
Do abstentions count? Toward quorum participation, yes. Toward the required majority, no.
Who can see a draft? Only the team. Voters see nothing until the vote opens.
