Accounts receivable report
Download everything a property is owed as of a chosen date, overdue or not, with the breakdown by charge type.
Accounts receivable report
The question it answers: how much is this property owed as of a date, counting everything open? Unlike Delinquency, which lists only what is past due, this report includes every charge with an open balance, due or not yet due. It is the number auditors and incoming boards ask for.
Download it
- Open Reports and go to the Accounts receivable section.
- Select the Property and the Cutoff date (an exact day, not just a month).
- Pick the Format: CSV, PDF or Excel, and select Download.
The file is named starting with AccountsReceivable, followed by the property and the date.
What is inside
One row per charge with an open balance at the cutoff: Unit, Tenant, Charge Type, Description, Original Amount, Pending Amount, Issue Date, Due Date, Days Overdue and Status.
The Status column has two values, derived at the cutoff:
- Pending: open but not yet due at the cutoff date.
- Overdue: open and past due at the cutoff date.
At the end, the totals: Total Accounts Receivable and Units with Open Balance. Voided charges are excluded.
Delinquency or receivables?
| You need | Use |
|---|---|
| Who is behind and how badly | Delinquency |
| The total owed, including charges not yet due | Accounts receivable |
The two agree by construction: the overdue rows of this report are the delinquency report. Receivables simply adds the open charges that are still within their due period.
Example
The association's auditor asks for receivables as of December 31. Laura downloads the report with that exact Cutoff date: Total Accounts Receivable $31,200.00 across 41 units. $23,480.00 of it is Overdue and $7,720.00 is Pending December charges that were still within their due period on the 31st.
FAQ
Why is this total bigger than the delinquency total for the same month? Because it adds the open charges that were not yet due at the cutoff. Both exclude voided charges, so the overdue portion matches.
Does available credit reduce the total? No. Credit sits on the unit until a charge consumes it. The report lists charge balances as they stood at the cutoff.
