Work orders report
Download a month of maintenance activity for a property, with vendors, dates and costs per work order.
Work orders report
The question it answers: what maintenance happened in this property this month, who did it, and what did it cost? It is the operational companion to the financial reports: the board sees the money in Monthly income and the work here.
Download it
- Open Reports and go to the Work orders section.
- Select the Property, the month and the year.
- Optional: narrow by Status (Open, Assigned, In progress, Completed, Cancelled), or leave All statuses.
- Pick the Format: CSV, PDF or Excel, and select Download.
The file is named starting with WorkOrders, followed by the property and the period.
What is inside
One row per work order created in the selected month: WO #, Title, Unit, Requested By, Category, Priority, Status, Created Date, Assigned Date, Completed Date, Assigned Vendor, Estimated Cost and Final Cost.
At the end, the totals: Total WOs, a count per status and per priority present in the month, and Total Cost of Completed WOs.
The fine print
- The month filters by creation date. A work order opened in March and completed in April belongs to the March report, with its April completion date in its row.
- Assigned Vendor reflects the current assignment. If the work order changed vendor along the way, the file shows the one assigned now.
- A cost that was never captured shows as an empty cell, not as zero. Zeros in the totals mean real zeros.
Example
The board of Ocean Tower A asks what the elevator incident cost. Laura downloads the March work orders in Excel: 27 rows, among them WO 2104, "Elevator 2 motor replacement", Priority Urgent, Assigned Vendor Miami Lifts LLC, Final Cost $8,400.00. Total Cost of Completed WOs for the month: $12,150.00.
FAQ
The status filter has five options but my file shows other statuses too. The file reflects each work order's real status, including intermediate ones such as Submitted or Closed. The filter narrows the download; All statuses brings everything.
Estimated or final cost: which one do the totals use? The month's total sums the Final Cost of completed work orders.
