How monthly charges are generated
What ALPRO bills to each unit every month, on which day, and why a unit might be skipped.
How monthly charges are generated
Once a property is configured, ALPRO bills every unit automatically each month. No one on the team creates the regular monthly charges by hand. This page explains the cycle, so you can predict what each owner will see and fix the cases where a unit is not billed.
The cycle
- Each property has a Charge generation day (1–28) in its settings. On that day of the month, ALPRO generates the month's charges for all active units of the property.
- Each charge is due after the property's Payment due days after generation. Until then its status is Pending; after that date with an open balance it becomes Overdue.
- The unit's owner, and the unit's tenant if there is one, receive an email when their charge is issued, in their preferred language.
- From the due date on, the property's reminder policy and late fees take over. See Late fees.
What each unit is billed
What goes into the monthly charge depends on two things: the property's Monthly charge items list and the unit's own Maintenance Fee.
| Property has charge items | Unit has a maintenance fee | What is generated |
|---|---|---|
| No | Yes | One charge for the unit's Maintenance Fee. |
| Yes | No | One charge with the property's items as line concepts. |
| Yes | Yes | Both charges: the unit's maintenance charge plus the items charge. |
| No | No | Nothing. The unit is skipped and the property's manager gets the notification Maintenance fee not configured. |
The charge built from the property's items appears in the charge list with the type Amenity fee; the one built from the unit's fee appears as Maintenance fee.
Rules worth knowing
- One per month. If a unit already has its charge for the period, generation skips it. Running the cycle twice never duplicates charges.
- Only units with an owner. A unit with no registered owner is not billed, and the property's manager is notified so the owner can be registered.
- Credit is applied automatically. If the unit has available credit from a previous overpayment, generation consumes it against the new charge. See Register a payment.
- Inactive properties do not bill. A deactivated property generates no charges until it is activated again.
Example
Ocean Tower A generates charges on day 1 with 15 due days. On March 1, Sofía's unit 1204 ($850 maintenance fee, no property items) gets one charge for $850.00, due March 16. Sofía and her tenant receive the email that same day. Unit 1310 has no owner registered yet, so it is skipped and Laura gets a notification to fix it.
FAQ
Can I change what a generated charge contains? Yes, while it is Pending or Overdue you can edit its line items and due date. See Create a charge by hand for editing and voiding.
A unit was skipped. How do I bill it for the missed month? First fix the cause (owner or fee missing). For the period already missed, create the charge by hand with its billing period set to that month.
Why did an owner get two charges this month? The property has Monthly charge items configured and the unit also has its own Maintenance Fee. That combination bills both. If that is not what the association wants, empty one of the two sides.
