Run and close a vote

Monitor participation while a vote is open, log paper votes, close it, and read the certified result.

Run and close a vote

Once a vote is open, your job is to get participation over the quorum, record the votes that arrive on paper, and close on time. ALPRO keeps the ballots sealed through all of it.

While the vote is open

The vote's monitor shows participation against the quorum in real time: how many eligible units or members have cast, with their weight, and who is still pending. What it never shows is how anyone voted: ballots stay sealed until voting closes, and individual choices are never disclosed, not even after.

Ballot emails are tracked per voter, so you can see who received theirs and resend where needed.

Log a paper vote

Some owners vote on paper, outside the system: those without electronic consent, or anyone who brings a physical ballot to the assembly. Record it with Log paper result on the unit's row.

Three things to know, because they are exactly what you will explain at an assembly:

  • The log records that the unit voted on paper, who logged it and when. It never records the ballot or its choice.
  • It cannot be undone, and the unit can no longer vote electronically (one unit, one vote, whatever the channel).
  • Paper votes count toward participation and quorum, but they are not in the electronic tally. The results page says so explicitly, with the channel mix: electronic ballots versus paper logged. The paper ballots themselves are counted outside ALPRO, as the assembly's procedure dictates.

Close the vote

A vote closes automatically at its scheduled end, or you can close it early from Close this vote. Closing is permanent: it ends ballot collection, computes the tally for the first time, and locks the result.

If you close early, ALPRO warns you what that means at that moment: quorum already met but pending voters cut off, or quorum not met and the motion closing as No quorum. Early closes require a written Reason, which is recorded and shown with the result.

Upon closure, in order: ballots lock, the tally is computed, the result snapshot (roll, weights, quorum, tally and rule applied) is sealed, and the eligible voters are emailed the results.

Read the result

The result page is written to be shown to the association:

  • The outcome: Approved, Rejected, tie (rejected by default), or No quorum.
  • Participation and quorum, with weights. Abstentions count toward participation, not toward the majority.
  • The tally per option. Individual ballots remain sealed: no role, including Super Admin, can see how a unit or member voted.
  • The certified audit log: who opened and closed, when, from where, and the snapshot hash that proves the result has not been altered since.

From there you can Export result, Download minutes, Print brief and resend the result emails.

Example

The chiller assessment vote reaches its last day at 46% participation against a 50% quorum. Laura checks the monitor, sees 12 units pending whose emails were delivered, and the board calls them. Two owners bring paper ballots to the office; Laura logs both units with Log paper result. Participation closes at 53%, the vote closes on schedule, and the result page shows Approved with the two-thirds rule met, noting that 2 units voted on paper outside the electronic tally.

FAQ

An owner says they already voted but wants to change it. Can we? While the vote is open, an electronic voter can return to their ballot. A paper log cannot be changed or undone.

The board president wants to know who voted against. ALPRO cannot show that, by design, to anyone. The minutes show the tally, participation and the audit trail, never individual choices.

What happens if we hit the scheduled close without quorum? The motion closes as No quorum and is not resolved. The creator can duplicate it as a new draft and relaunch, which is also the moment to collect more electronic consents.
