Track violations

Document rule violations with evidence, follow each case through its timeline, and record the fines your association levies.

Track violations

ALPRO keeps your association's violation record: what happened, the evidence, every status change and any fine levied, each case with its full timeline. The enforcement process itself, including notices, hearings and the approval of fines, belongs to your association under its governing documents and state law; ALPRO is where that process gets documented so it can be shown later.

Before you start

  • Your organization's Violation Types must be configured. Each type defines its severity and whether evidence is required.
  • You need a Property Manager or Super Admin account. Board Members see violations in read-only mode.

Report a violation

  1. Open Violations.
  2. Select Report Violation.
  3. Pick the Violation Type, the property and the unit, write the Title and description, and set the date it occurred.
  4. Attach photos or documents with Add evidence. Some violation types require evidence before the case can be created.
  5. Save. The case appears in the list as open, and the residents involved can see it in their portal.

Follow the case

Every case moves through a simple lifecycle:

Open any violation to see its detail: the description, the evidence and the timeline, where every status change is recorded with who made it and when.

  • Use the Actions menu to move the case: Resolve when the issue is corrected, Dismiss if it should not proceed, Re-open if it comes back.
  • Every change asks for confirmation and is written to the timeline, so the record of the case is complete.

Record a fine

When your association has levied a fine on a case, following its own process, record it on the violation:

  1. Open the violation and select Add fine.
  2. Enter the amount your association approved and the reason.
  3. When the resident pays, mark it paid on the case. The dashboard tracks Unpaid Fines so nothing is forgotten.

The amount, and whether a fine applies at all, comes out of your association's process, not out of ALPRO: the platform records the outcome and keeps the trail.

The dashboard

The Violations screen opens with the numbers a manager reports with: Total Active, cases Due Soon, Unpaid Fines, Avg. Resolution time, and the breakdown by severity and by type. The Violation Summary report is available in Reports for the same picture in a downloadable file.

Example

A resident of Ocean Tower A leaves a grill on a shared balcony. Laura, the property manager, opens Violations, selects Report Violation, picks the type "Common area misuse", unit 804, attaches two photos and saves. The owner sees the case in his portal. The board reviews it in its meeting, decides on a $100 fine through the association's process, and Laura records it with Add fine. Two weeks later the resident corrects the issue and pays; Laura marks the fine paid and resolves the case. The timeline holds the whole story.

FAQ

Does ALPRO send the legal notices or schedule the hearing? No. Notices, hearings and fine approvals follow your association's process under its governing documents and counsel. ALPRO documents the case and its outcome.

Can residents see violations? Yes, their own: an owner sees the cases of their units, a tenant the cases of their unit. Neither can see anyone else's.

Can a Board Member edit a case? No. Board Members read the violation record; managers operate it.
