Bulk upload units
Load all the units of a building from one CSV or Excel file, fix errors with the error file, and confirm.
Bulk upload units
When a building comes with dozens or hundreds of units, do not create them one by one. Upload a single file, let ALPRO validate every row, fix what it flags, and confirm them all in one operation.
Before you start
- The property (or properties) must already exist in ALPRO. The file references each property by its exact name.
- You need the data per unit: number, status, type, floor, square feet and maintenance fee at minimum.
- The file can be CSV or Excel (.xlsx), up to 1,000 rows.
The template and its 13 columns
In Units, select Bulk Upload, then Download template. The template has 13 columns; the first 7 are required for every row.
| Column | Required | What goes there |
|---|---|---|
propertyName | Yes | The property's name, exactly as it appears in Properties. |
unitNumber | Yes | The unit number, for example 101. |
status | Yes | vacant, occupied or unavailable. |
type | Yes | studio, 1br, 2br, 3br or 4br_plus. |
floor | Yes | Whole number. |
squareFeet | Yes | Whole number. |
maintenanceFee | Yes | The unit's monthly fee. Zero or greater. |
bedrooms | No | Number of bedrooms. |
bathrooms | No | Number of bathrooms. |
rentAmount | No | Monthly rent, if the unit is rented. |
lateFee | No | A per-unit late fee amount. |
notes | No | Free text. |
ownershipPercentage | No | 0 to 100, up to four decimals. See below. |
Steps
- Open Units and select Bulk Upload.
- Select Download template, fill it in and save it.
- Choose your file and select Upload and validate. Nothing is created yet: ALPRO checks every row and shows a preview with the count of valid rows and errors.
- If there are errors, the preview marks each failing row. Select Download errors CSV to get the list of failing rows with the reason for each one. Fix those rows in your file and upload it again.
- When every row is valid, select Confirm units. You should see Units created successfully and a summary of how many units were created.
Confirm units stays disabled while any row has an error. The upload is all or nothing by design: you never end up with half a building loaded.
The error file
Download errors CSV gives you one line per failing row, with the row number and the reason. The most common ones:
| Error | How to fix it |
|---|---|
| No property named "..." found | The propertyName does not match any property. Copy the exact name from Properties. |
| Multiple properties match "..." | Two properties share that name. Use the exact name shown in the list, with its exact capitalization. |
| You do not have access to property "..." | The property exists but is outside your access. Ask your Super Admin. |
| Unit "..." already exists in property "..." | That unit is already in ALPRO. Remove the row, or see the ownership percentage note below. |
| Unit number "..." already appears earlier in this file | The same unit is twice in your file. Keep one row. |
| The file is missing required headers | A required column was renamed or deleted. Start again from the template. |
| The file exceeds the 1,000 row limit | Split the file and upload it in parts. |
Updating ownership percentages
The upload has one update behavior: a row for a unit that already exists and brings a value in ownershipPercentage does not fail as a duplicate. Instead it updates only that unit's ownership percentage and changes nothing else. The preview marks these rows as Updates the ownership percentage, and the final summary counts them separately.
Example
Laura receives the unit list for Ocean Tower B: 180 units. She downloads the template, pastes the data, and uploads. The preview shows 177 valid rows and 3 errors; the errors CSV says two rows repeat unit 902 and one row says "Ocean Twr B" instead of the exact property name. She fixes the three rows, uploads again, sees 180 valid rows and selects Confirm units.
FAQ
Does the upload create owners or tenants too? No. This upload creates units only. Owners and tenants are loaded separately.
Can I use the upload to edit existing units? Only the ownership percentage, as described above. Any other change to an existing unit is made from Units with Edit Unit.
Row limit? 1,000 rows per file. Larger buildings go in several files.
