Register a payment
Record an owner's payment, let ALPRO apply it to the right charges, send the receipt, and undo a mistake.
Register a payment
When an owner pays by transfer, check or cash, you record it in ALPRO and the system applies it to the unit's open charges. The owner gets a receipt, the statement updates, and overpayments become credit for the next cycle.
Steps
- Open Charges & Payments and select Register payment.
- Select the Unit and enter the Amount and the Payment date.
- Pick the Method: Transfer, Check, Cash or Other, and enter the Reference (for example the transfer ID).
- Decide where the money goes:
- Leave Associate to a specific charge (optional) empty and ALPRO applies the payment by FIFO: the oldest open charges first.
- Or select one specific charge to pay exactly that one.
- Select Register payment. The toast Payment registered tells you how many charges it was applied to.
What happens to the money
- Exact or partial amounts. The payment covers charges in order until it runs out. A charge covered partially becomes Partially paid; fully covered charges become Paid.
- Overpayment becomes credit. If the amount exceeds the open charges, the difference is stored as the unit's available credit, and ALPRO consumes it automatically against future charges, starting with the next monthly generation. The receipt shows Credit generated with the amount.
- A receipt is created. From the payment's row you can View payment receipt, Email receipt to the owner, or Download PDF. The receipt lists the applied charges, one by one, with the amount applied to each.
Warnings worth reading
- Duplicate reference. If another payment with the same reference exists for the unit in the last 90 days, ALPRO warns you. It does not block the registration; check with the owner before saving twice.
- Future payment date. Allowed, but flagged, in case it was a typo.
Undo a payment
If a payment was registered on the wrong unit or with the wrong amount, reverse it: open the payment and select Reverse payment. ALPRO shows the affected charges, with the status each one will return to, before you confirm with a written Reason of at least 10 characters.
Two limits:
- A payment can be reversed only once.
- If the payment generated credit and that credit was already consumed by a later charge, the payment can no longer be reversed. Resolve it with an adjustment charge instead.
After the reversal, the payment shows as Reversed and the charges it paid are open again.
Example
Sofía wires $1,000 against her $850 March charge. Laura registers the payment with method Transfer and the wire number as Reference, leaves the charge selector on FIFO, and saves. The March charge becomes Paid and the receipt shows Credit generated: $150.00. On April 1, the new charge consumes those $150.00 automatically, so April's open balance starts at $700.00.
FAQ
The owner paid at the bank. Who registers it in ALPRO? The management team. Owners see the result in their portal, with the receipt, but manual payments are registered by the team.
Can I choose how a payment is split between several charges? Associate the payment to a specific charge to pay exactly that one. If you do not, ALPRO applies FIFO, even in properties whose Payment application rule is Manual allocation: in those, picking the charge is on you.
Where do I see everything a unit has paid? In its account statement.
