Property settings

Every property has its own settings page. This is where you decide when charges are generated, what they contain, how late fees work, and when residents get payment reminders. Open Properties, find the building and select Settings.

The page has two tabs: General and Reminders.

General tab

Time zone

The property's local time zone, used to calculate local due dates for scheduled reminders. The default is America/New_York.

Payment configuration

SettingWhat it does
Payment application ruleFIFO (oldest charges first) applies each payment to the oldest open charges automatically. Manual allocation lets the person registering the payment pick the charges it pays.
Charge generation day (1–28)The day of the month ALPRO generates the monthly charges. Capped at 28 so February never breaks the cycle.
Payment due days after generationHow many days after generation a charge is due. After that it is overdue. 0 means due immediately.

Late fee settings

SettingWhat it does
Late fee typeFixed amount (monthly) or Percentage of rate base (monthly).
Late fee amount / Late fee rate (%)How much. A value of 0 disables late fees for this property.
Percentage baseOnly for percentage fees: Unit maintenance fee or Outstanding charge balance.
Grace period (days)Days after the due date before the first late fee applies.

A late fee is charged once per calendar month while the charge remains overdue. Changes apply to future late fees only; nothing is recalculated retroactively.

Monthly charge items

The list of concepts the monthly charge bills to every unit of this property, for example Maintenance $600 plus Reserve fund $150. Add lines with Add item; each one has a Concept and an Amount, and the screen shows the running Total.

If you leave this list empty, ALPRO falls back to each unit's own Maintenance Fee as the monthly charge. If the list has items and a unit also has its own maintenance fee, both are billed: the unit's maintenance charge plus one charge with the property's items. If the list is empty and a unit has no maintenance fee either, that unit is skipped and the property's manager is notified. The full picture is in How monthly charges are generated.

Reminders tab

A reminder policy emails residents before their charge is due.

  • Each reminder fires a set number of Days before due date, from 1 to 60.
  • A policy holds up to 5 reminders, each on a different day.
  • Include owners and Include watchers control who gets copied beyond the unit's tenant.
  • Only one policy can be Active per property, and an active policy needs at least one enabled reminder.
  • Preview shows the exact email a resident would receive.

Deleting a policy does not cancel reminders already scheduled for the current cycle.

FAQ

Who can edit these settings? Super Admins and Property Managers with access to the property. Board Members see the same page with a read-only banner.

I changed the late fee. Does it fix the fees already charged? No. Late fee changes apply from the next late fee onward, never retroactively.

Why is my property not generating charges? Check, in this order: the property is active, the Monthly charge items list has items or the units have a Maintenance Fee, and each unit has an owner registered. Units with no owner or no fee are skipped.
