Delinquency report

Download every overdue charge of a property as of a month's cutoff, with days overdue and accumulated late fees per unit.

Delinquency report

The question it answers: who was behind at the end of a month, by how much, and for how long? This is the report boards ask for by name, and the one that feeds collection decisions.

Download it

  1. Open Reports and go to the Delinquency section.
  2. Select the Property and the Cutoff period (month and year).
  3. Pick the Format: CSV, PDF or Excel, and select Download.

The file is named starting with Delinquency, followed by the property and the period.

How the cutoff works

The report takes a photo at the end of the chosen month, with two rules worth understanding:

  • If you choose the current month, the cutoff is today (in the property's time zone), not the month's end: ALPRO never reports a future photo.
  • A charge whose due date falls exactly on the cutoff day is not overdue yet. Overdue means the due date already passed. This is the same rule late fees follow, so the two always agree.

The status in the file is derived from that cutoff, not from the charge's status today. A charge that was overdue in March and got paid in April still appears as Overdue in the March report; that is the point of a cutoff.

What is inside

One row per overdue charge: Unit, Tenant, Charge Type, Charge Description, Original Amount, Pending Amount, Due Date, Days Overdue, Accumulated Late Fee and Status.

At the end, the totals: Units in Delinquency, Total Pending Amount, Total Accumulated Late Fee and the Cutoff Date used.

Voided charges are excluded.

Example

At the April assembly, Pedro presents the March delinquency of Ocean Tower A: 14 units behind, Total Pending Amount $23,480.00. Unit 902 shows three rows, December through February, with 95, 64 and 33 Days Overdue, and $150.00 of Accumulated Late Fee. The board votes to send unit 902 to the attorney with that page as the exhibit.

FAQ

A charge was due the 31st and the report of that month does not list it. Correct. On the cutoff day it was due, not overdue. It will appear in the next month's report if it stays unpaid.

Why does last month's report not match what the owner owes today? The report is a photo at the cutoff. Payments after the cutoff do not change it. For today's picture, use the Accounts receivable report with today's date, or the unit's account statement.
