Late fees

When ALPRO adds a late fee to an overdue charge, how the amount is calculated, and how to control it.

Late fees

When a monthly maintenance charge stays unpaid past its due date, ALPRO can add a late fee automatically. The rules live in each property's settings; this page explains how they play out.

When a late fee applies

A charge earns a late fee when all of these are true:

  • It is a monthly maintenance charge with an open balance (status Pending, Partially paid or Overdue).
  • Its due date plus the property's Grace period (days) has passed.
  • The property has late fees configured with a value greater than 0.
  • The charge has not already received a late fee this calendar month.

The fee repeats at most once per calendar month for as long as the charge stays unpaid. Pay the charge and the fees stop.

How the amount is calculated

Late fee typeAmount
Fixed amount (monthly)The configured Late fee amount, as is.
Percentage of rate base (monthly)The Late fee rate (%) applied to the chosen Percentage base: the unit's maintenance fee, or the outstanding balance of the overdue charge.

A unit can also carry its own Late fee amount / percent (set on the unit); when it has one, it takes priority over the property's value for that unit.

What the owner sees

The late fee is a separate charge, due immediately, linked to the charge that caused it. Its concept reads Late fee for followed by the receipt number of the overdue charge, so the owner always knows which month it comes from. The owner and the unit's tenant are notified by email when it is applied.

Example

Ocean Tower A charges a fixed $50 late fee with a 5 day grace period. Sofía's March charge was due March 16 and she has not paid. On March 22 (the first day past due date plus grace), ALPRO creates a $50.00 charge, Late fee for her March receipt. If April comes and the March charge is still open, one more $50.00 fee is added that month.

FAQ

I changed the late fee settings. Do existing fees change? No. Changes apply to future late fees only, never retroactively.

How do I turn late fees off for one building? Set the Late fee amount (or rate) to 0 in the property's settings. A value of 0 disables late fee generation for that property.

Can I forgive a late fee that was already applied? A late fee is a charge, so it can be voided like any other unpaid charge, with a written reason. See Create a charge by hand.

Does an owner pay late fees on special assessments or fines? No. Automatic late fees apply to the monthly maintenance charge.
